Create a Bí Cineálta Report

Record incident details, supporting files, communications and follow-up actions.

Use Bí Cineálta / Appendix 3 to create a report with incident details, supporting media and documents, communications, and a checklist of follow-up actions.

Follow current school procedures. The fields and checklist help organise the record; they do not replace your school's Bí Cineálta policy or required follow-up. Keep entries factual and upload only relevant material you are authorised to include.

1. Start the report

  1. Open Reports.
  2. Click Add Report at the top right.

2. Complete Report Details

Enter the assigned staff member, priority, status, affected student, other individuals involved, incident type and location, and any additional context requested by the form.

Some legacy fields use labels such as “Accused”. Describe reported behaviour objectively and distinguish allegations from confirmed facts.

Check the information, then click Save & Next.

3. Add Media & Documents

  1. Click Upload Media.
  2. Choose Image, Video or Document.
  3. Click the upload icon and select the file.
  4. Add a description if needed.
  5. Click Submit.

Keep files under 15 MB. If no files are needed, use Save & Next to continue.

4. Record communications

  1. In Communications, click Add New.
  2. Choose the communication type: face-to-face, phone call, email or Zoom call.
  3. Record who you spoke with, the purpose and the relevant discussion details.

You can add further communications as the report progresses, until it is closed.

5. Update the Checklist of Actions

  1. Click the + beside an action.
  2. Change Not Started to Waiting, Requested or Complete, as appropriate.
  3. Add relevant notes.
  4. Click Update.

The documented checklist includes report preparation, meetings and statements, parent contact, collated notes, CCTV checks and an FIR Register entry. Labels may reflect an older template. Apply the actions required by your school's current procedure; do not treat every software label as a universal requirement.

6. Save and review progress

Click Update at the bottom of the report. While the report is open, return as needed to update details, communications, files and checklist progress.

Use Resolved or Closed only when the required actions and review are complete and your role allows it. See View & Edit Reports for the status meanings.
