In this guide
1. Open a Student Profile
- Go to the Main Dashboard or Attendance Overview.
- Use Search Student on the main dashboard or Search Student Profile in Attendance Overview, then enter the student’s name.
- Select the student’s name to open their profile.
At the top of the profile, Point of contact shows the parent or guardian’s contact details. The icons beside contact details indicate app registration status.
2. View attendance and other records
Use the tabs below the contact details and settings to move between the student’s records.
Attendance
Open Attendance to review all attendance information for the student. The Summary shows:
- Total Absence Days
- Late Arrivals
- Total Permission to Leave
Use the date range beside Summary, such as Year to date, to choose the period you want to review.
- Calendar View: See attendance across the school calendar, including absences, late arrivals and permission to leave. Attendance from your school’s attendance system, such as VSware or Tyro, can be reviewed here.
- List View: Review individual records and notes, including absence explanations, late notes and Permission to Leave (PTL) notes. Records include dates and times to help with follow-up.
Please Checks are also available under the Attendance tab. These are requests from parents or guardians who believe their child has been marked absent in error.
Follow up on Please Checks promptly. If you need to stop a Please Check without notifying the parent, select Edit on the right of the record and change its status to Aborted.
Read the guide to managing Please Checks
Communications
Open Communications to review the communications associated with the student, including:
- Personal Notifications: View messages sent to parents or guardians and check whether they have been read.
- Notes from Parents: Review non-attendance notes, such as medical updates or dress-code explanations, and acknowledge them as needed.
Evening Study and Detention
- Select Evening Study to view the evening study sessions associated with the student.
- Select Detention to view detentions assigned to the student.
3. Contact a parent or guardian
Send a Personal Notification
Use Send PN to send a Personal Notification directly from the student’s profile.
- Click Send PN at the top right.
- Choose whether to send the message to the guardian only or to the guardian and student.
- Write your message, check the recipients and follow the on-screen steps to send it.
Send an Absence Request — coming soon
Unique Schools normally identifies unexplained absences and automatically sends a request to the parent or guardian for an explanation, provided Absence Requests are enabled for the student. You should not usually need to send a request manually.
Coming soon: Once released, Send Absence Request at the top right of the Student Profile will let you send a request manually if the automatic request was not sent. This button is not available yet.
4. Manage absence alerts and daily requests
The Settings panel contains two separate switches. You can turn off either setting, or both, for an individual student.
Absence Alerts: 5, 10, 15 and 20 absent days
These are the alerts linked to the student reaching your school’s configured absence thresholds, such as 5, 10, 15 or 20 absent days.
To exclude the student from these milestone alert lists, turn off Absence Alerts. The student will be removed from the Absence Alerts lists for these thresholds.
Absence Requests: daily unexplained absences
These are the daily notifications asking a parent or guardian to explain an unexplained absence.
To stop daily absence requests for this student, turn off Absence Requests.
These settings work independently. Turning off Absence Alerts does not turn off daily Absence Requests. If both should stop, turn off both switches.
5. Manage app access
Block school access — coming soon
Coming soon: Block school access will let you block the student’s access, guardian access, or both to your school in the app. This button is not available yet. Once released:
- Click Block school access at the top of the profile.
- Choose whether to block the student, guardian or both.
- Check who will be affected and follow the on-screen steps to apply the change.
Only need to stop absence notifications? Use the switches in Settings instead. Blocking school access restricts access to your school in the app.
Reset a guardian’s password
If a parent or guardian is having trouble signing into the app, you can reset the password for that particular guardian.
- Find the guardian under Point of contact.
- Check that you have selected the correct guardian, then click Reset Password beside their details.
- Follow the on-screen instructions to complete the reset.
6. What is coming next?
Future updates are planned to bring the student’s Payments, Forms and Teams into their profile.
These additions are still in development. They are not included in this Student Profile release.
