Respond to Please Checks

A parent or guardian chooses Please Check when they receive an absence notification but believe their child is in school. Staff must check the student's whereabouts and respond promptly.

Absence request confirmed in error? School staff can cancel the request so the parent no longer needs to submit a note. See Abort an Absence Request Sent in Error.

Make this a daily priority. Confirm the student's whereabouts before choosing a response. Schools may find it practical for office staff to manage the list while teachers and Year Heads are in class.

1. Open and check the request

  1. From the Dashboard, open Attendance Overview → Please Check.
  2. Review the pending requests and check the relevant date.
  3. Check the student's attendance record, including subsequent class roll calls.
  4. If the records do not confirm their whereabouts, follow your school's procedure to check where the student is.
  5. Once confirmed, choose the appropriate response below and correct the attendance record where needed.

2. Student is present, late or on a school activity

  1. Select the checkbox beside the student.
  2. Click In Class - Cancelled.
  3. Choose the response that matches what you have confirmed:
  • Mark as Present: the student is in school and was incorrectly marked absent.
  • Mark as Late: the student arrived late, for example without using the Digital Sign In device.
  • Mark as School Activity: the student is on an authorised school activity, such as a match or trip, and the attendance record was not updated before the absence notification went out.

This cancels the absence request and notifies the parent or guardian of the selected outcome. For a school activity, the school can respond with School Activity.

Keep attendance records aligned. Check that the student's record in your attendance system correctly reflects the confirmed outcome.

3. Student is absent

  1. Select the checkbox beside the student.
  2. Click Not In Class - Confirmed.

The parent or guardian receives confirmation that the school checked and the student was not present. They are asked to contact the student if they expected them to be in school, or to complete the Absence Request Form if they know the student is absent.

4. Understand the email alerts

“URGENT: Error in the Roll Call”

A parent has selected Please Check. Open the Dashboard, confirm whether the student is present, late, on a school activity or absent, and take the appropriate action.

“URGENT: My student will be late today”

The parent has said the student is expected to arrive late. The absence request is held until the end of the day:

  • If the student signs in late, the absence request is cancelled automatically.
  • If the student does not arrive, the request is sent again the following morning.

No immediate response to that email is needed unless attendance needs correcting or your school procedure requires follow-up.

Close a Please Check without notifying the parent

If appropriate, use Edit beside the request and change its status to Aborted. This is different from sending a confirmed attendance response.

Access and current screen

Please Checks and Absence Request Forms require Attendance Form Management. If the section or expected records are missing, ask your school administrator to check Access & Permissions.

The current response menu includes Mark as Present, Mark as School Activity and Mark as Late.
